Humor me for a second – because I am the kind of educator who needs to tell you the why before the how. After over a decade of running my own photography biz, I know that running a successful photography business involves more than just taking stunning photos. You need to be just as passionate about creating a seamless experience for your clients from start to finish (or at least – make it seem like that). This is why Dubsado templates are so important. They save you time, ensure consistency no matter how busy you are, and help you maintain a professional, beautiful, company image.

First things first, you need a contact/inquiry form. This is the gateway for your clients to book your services, and it’s where their experience with you truly begins. A well-crafted contact form not only collects all the necessary information but also sets the tone for the client experience. You need to strike a balance between making sure that you get all of the information you need, without forcing your potential clients to fill out a million questions. You’ll want to make sure your form is easy to navigate and visually appealing, reflecting your brand’s personality (and what your clients can expect to get when they hire you!).

Next up, you need a booking form or proposal form. This is typically sent after you’ve already had a conversation with the client, and you’re ready to send them a quote or proposal. This form should have all the details that they will need to book (and yes – you should template this for your main services!), and give them the opportunity to add any “add-ons” if that’s applicable to your business.
My number one rule with a booking form or proposal form is that once the client “accepts” it or fills it out, it needs to automatically link to your contract and invoice. I know sometimes I get push-back on this because service providers feel like they “need” whatever information the client fills out in order to finalize the contract, but the truth is that most CRM’s have smart fields now that will auto-populate. This automation removes SO much friction in the booking process, and I promise you that you’ll love getting paid faster.

Once a client has booked, it’s time to get to know them better. You don’t have to worry about scaring them away with a game of 20 questions.
