You need to strike a balance between making sure that you get all of the information you need, without forcing your potential clients to fill out a million questions. You’ll want to make sure your form is easy to navigate and visually appealing, reflecting your brand’s personality (and what your clients can expect to get when they hire you!).
Here are a few things I recommend you include:
- Contact Information: Full name, email, phone number, and address to keep in touch.
- Preferred Dates: Allow clients to choose their preferred dates for the session, with a calendar option for easy selection.
- Type of Session: Specify the type of session they are booking (e.g., wedding, family, portrait, etc.).
- Additional Details: Space for any specific requests or important information clients might want to share upfront.
A Booking Form/Proposal Form
Next up, you need a booking form or proposal form. This is typically sent after you’ve already had a conversation with the client, and you’re ready to send them a quote or proposal. This form should have all the details that they will need to book (and yes – you should template this for your main services!), and give them the opportunity to add any “add-ons” if that’s applicable to your business.
My number one rule with a booking form or proposal form is that once the client “accepts” it or fills it out, it needs to automatically link to your contract and invoice. I know sometimes I get push-back on this because service providers feel like they “need” whatever information the client fills out in order to finalize the contract, but the truth is that most CRM’s have smart fields now that will auto-populate. This automation removes SO much friction in the booking process, and I promise you that you’ll love getting paid faster.
This one is really going to vary per service provider but here are a few things I recommend you include:
- Service Description: You’ve likely already talked about it, but since the next step is the contract, it’s worth repeating what’s included
- Payment Information: Make sure you detail the total cost and when payments are due!
- Services Required: Allow clients to select the services they need from a predefined list (e.g., wedding photography, wedding videography, wedding album, etc).
- Frequently Asked Questions: this is where you can address any common objections you get that may delay the booking process.
Client Questionnaire After They Book
Once a client has booked, it’s time to get to know them better. You don’t have to worry about scaring them away with a game of 20 questions. When it comes to Dubsado templates for photographers, a client questionnaire might be at the top of the list of things you need. It’s a vital tool that helps you gather important information about their preferences, expectations, and any specific needs they might have.
