Business-First Creatives Podcast
CRM Guru, Family Filmmaker, and Host of the Business-First Creatives podcast. I help creative service providers grow and streamline their businesses using Dubsado, Honeybook, and Airtable.
Hey, I'm Colie
A little bit of a confession, for five and a half years I’ve helped you map your client journey, get excited about what’s possible, and then spend the rest of our time together bending that vision to fit inside software I recommended. As of this episode, I’m done doing it that way — and I’m building the next iteration of my business out loud so it stops living only inside my head.
I’ve been doing the systems side of my business for a little over five and a half years. And I’ll be honest with you: it’s only now that I truly believe I know what I want this business to look like for the next five, possibly ten years.
For the first four of those years, what I offered you didn’t change much. But in the last year and a half, my business has flipped completely upside down. I now have offers that did not exist eighteen months ago, and those are the only things I’m focused on going forward.
I don’t think anything I did before was a waste. I’ve helped hundreds of photographers and creative service providers build systems that saved them real hours and real stress, and I’m proud of every one of those builds. But I’m making some pretty big moves to change my actual core offer, and I’d rather tell you why than let you find out from a sales page.

Up until now, I have been focused on the tool. More specifically, I’ve been focused on my favorites: Dubsado and HoneyBook.
Here’s how that played out. You and I would sit down, map your client journey, and get genuinely excited about what was possible. And then we would spend the rest of our time together bending your vision to work inside whatever software I was recommending to you.
Read that again, because it took me five years to say it out loud. I was asking you to squeeze your business into software that was not designed for how you work.
Sometimes the fit was close enough that nobody noticed. But sometimes it meant a touchpoint you really wanted got dropped, or a step got clunkier than it needed to be, because the tool couldn’t do it and I didn’t have another answer for you. I’m done with that. And I’m sorry it took me this long — though three years ago, I genuinely wasn’t in a position to offer you anything different.
What actually flipped the switch was building myself the tool of my business dreams.
I kept running into the same problem with my own clients. My templates, my trainings, my feedback, my frameworks — everything was scattered. Nothing lived in one place. So during my birthday sabbatical, I built the Systems Professor app to manage my clients inside the Experience Edit and Systems in Session.
I could never have imagined that building a custom tool for myself was going to spark the next iteration of my business. But it did. It cracked something open.
I’ve joked for years that if I’d had a coder in my life — someone who could take the ideas out of my head and put them into the world — maybe that’s the path I would have taken. Unfortunately my husband is a biochemist, and all of my besties are photographers and photographer educators. Not a developer among us.
But with where AI is right now, and vibe coding specifically, that door is open. Making the tools that genuinely make our businesses easier is available to everyone now, not just people with a technical co-founder.
Want to see exactly what I built and how? Tomorrow’s episode is Kara, my blog writer, interviewing me about the Systems Professor app: [NEED LINK — Kara episode].
I want to walk you through the two pivots that got me here, because the mistake was the same both times and I don’t want you to make it.
Until I created Email Like You Mean It, I was 100% focused on workflows. You’re spending too much time on something? Let’s automate it. You’re working off checklists and doing everything manually? Let’s put it in a workflow.
I thought if I could just hand you the right workflows, your business would run better.
And then I admitted, in a very public way, that most of you weren’t ready for workflows. Most of you needed to sit in a corner with a piece of paper and a pen and figure out what you actually wanted to do with your clients first. Then you needed to write the client communication that guided it.
So I built a course around client communication. And I built it that way because it’s what my clients were telling me. Everyone I worked with in done-for-you was thrilled about the emails I wrote them and the difference those emails made with their clients.
But where I went wrong was assuming the emails were the thing giving them that result. In reality, it was one more step backwards. The emails worked because of the client journey we had planned that those emails were guiding.
Workflows sit on top of communication. Communication sits on top of the client journey. Every time I started one layer too high, it looked like it was working — until it didn’t.

So here’s what this means if you want to work with me. Going forward, the Experience Edit is my forward-facing offer, and everyone starts there. I’ll admit it didn’t look like the Experience Edit was going to make it — it started as the client communication course I thought everybody needed. It’s become something much more useful.
This part is new, and I haven’t really talked about it outside of the Order of Operations episode. Everyone gets an offer review from me before we do anything else.
That’s because I still believe we cannot build systems around a shitty offer. I want to know that the thing you’re marketing and selling is profitable, sustainable, and enjoyable to deliver. Once your offer gets the green light, we move on. If it doesn’t, we fix the offer first — because a beautiful client journey wrapped around an offer that’s losing you money is just a more organized way to lose money.
Once your offer has the seal of approval, we map your client journey. This is an absolute non-negotiable for me.
This is the thing that gets you the business you’ve dreamed of. This is the thing that makes workflows and automations possible in the first place. We sit down together and map every single milestone and every single touchpoint you’re going to have with your clients, from the first inquiry to the last goodbye.
Notice what hasn’t happened yet: we haven’t talked about tools. Not once. The Experience Edit is entirely about reviewing your offer and mapping your client journey. The tool conversation comes after, and it comes second on purpose.
After the Experience Edit, you’ll still have the opportunity to work with me one-on-one to implement your new five-star client experience. The difference is what “implement” can mean now.
If you walked in with Dubsado, HoneyBook, 17hats, VSCO, or Sprout Studio, and that tool can deliver the journey we just mapped, wonderful. We build it there. Nothing about this shift means I’ve stopped loving a good CRM.
But if you’re running a business like mine — where you’ve never quite found the tool that lets you do everything you do with your clients in the most efficient way — then building you something custom is a conversation we need to have. That’s what I did with the Systems Professor app, and it’s why I can finally offer it to you.
Does every person need a custom tool? No. Absolutely not. Most of you will be very well served by the software that already exists. But now, when your dream client experience needs something the market hasn’t built, the answer is no longer “let’s compromise.” The answer is “let’s build it.”
I no longer want you to feel like you have to give up parts of your vision because the tools available today can’t fully get you there.
I think the Experience Edit is the best thing you can do for your business right now, and I’d love for you to come do one with me.
Right now I’m booking solo sprints — you and me, one-on-one, reviewing your offer and mapping your client journey together. I’ll also be running one more group sprint before the end of 2026, with registration opening next month.
Solo or group, everyone who works with me from here on out starts with an Experience Edit. Details are at coliejames.com/experience.
