I’ve been using Dubsado in my own newborn photography business for years, and what I want to show you in this post isn’t just the theory — it’s what it actually looks like in practice. I’ll walk you through each step of my booking process and then show you a full video walkthrough so you can see it all in action.

Every client journey inside my Dubsado starts with a lead capture form — embedded on my website and linked in my social media bio. It collects the essentials: name, email, the type of session they’re interested in, and their availability.
What makes this powerful is what happens on the backend the moment they hit submit. Dubsado automatically triggers a specific workflow based on how they answered the form — which means the right email goes out to the right person immediately, without me doing a single thing.
The moment someone submits that form, they get an email from me. Not a generic “thanks for reaching out” — a personalized, session-specific response that reflects exactly what they inquired about.
For a newborn inquiry, that email guides them through my process, shares what makes my newborn sessions special, answers the most common questions before they even ask, and gives them a clear next step. It sounds like me. It’s in my voice. And I wrote it once, years ago, and it’s been working on autopilot ever since.
This is the part that surprises people when they see it in action — the emails don’t feel robotic at all. You address clients by name, pull in details from their form, and the whole thing reads like you sat down and wrote it just for them. Because you did — you just only had to do it once.
Once a lead is warmed up and ready to book, it’s time to send a proposal. In Dubsado, a proposal combines your pricing guide, contract, and invoice all in one — which means a client can select their package, sign the contract, and pay their deposit without ever having to wait for a follow-up from you. This five-minute booking process is my favorite feature inside Dubsado.
For my newborn sessions, I send a beautifully designed proposal that includes three package options, images that represent the experience I deliver, a timeline of the process, and an FAQ section. Once the client selects their package, they’re immediately prompted to sign and pay. The whole thing is on-brand, professional, and completely automated.
The best part? Dubsado lets you include photos, videos, and design elements that showcase your work — so you’re presenting your art at the same time you’re asking for the money. No CSS coding required to make it look beautiful, though if you want to take it further, that option is there too.
After the proposal is signed and payment is made, Dubsado takes over the rest of the communication. Questionnaires, reminders, prep emails, session day details, gallery delivery timelines — all of it mapped out in advance and sent automatically at exactly the right moment.
For newborn clients, I send an email one month before their due date with tips on how to prepare for their session, what to wear, and what to expect. After the session, they get a follow-up email with an estimated gallery delivery timeline and a heartfelt thank you. None of it requires me to remember, check a calendar, or type a single word. It’s all part of a workflow that was built once and runs every time.
