Planning this episode felt a little like getting a dose of my own medicine.
When I help my clients build their five-minute booking process, I always tell them: your FAQs don’t belong buried on your website. They belong right above where someone is about to pay you. Because that’s where decisions actually happen.
And so today? I’m doing that for Systems in Session.
Systems in Session is where we build high-touch, low-effort systems that make your premium offers easy to book, effortless to deliver, and impossible to forget — so you can grow your business with more referrals, rebookings, and rave reviews without growing your workload.
But before you say yes to this done-with-you Dubsado setup, you probably have questions.
So let’s answer them.
This episode is part three of a short objection series about Systems in Session.
In Episode 288, I tackled one of the biggest mindset blocks I hear:
“I can’t automate that — my clients are all different.”
In Episode 289, I answered the niche question:
“Is Systems in Session only for photographers?”
And in this episode, we’re going deeper into the logistical and practical questions — the ones you’re probably asking quietly before you click “apply.”
If you haven’t listened to the first two, I recommend starting there.
Because by the time you get here?
We’re not debating whether systems work.
We’re deciding whether this is your next step.

[00:00:00] Planning this episode with Chelsea felt a little bit like getting a dose of my own medicine. Let me give you some context when I am working with clients to create your five minute booking process, and we are talking through what absolutely must be included on your highly converting booking proposal or smart file.
[00:00:23] One of the best things that you can include is frequently asked questions. Now, quite often when I tell my clients. What questions do you want to include or should you include on your booking proposal? They snap back and say, oh, but I have frequently asked questions on my website, to which I say, yes, but you should include the questions that you wanna make sure that they have reviewed right above where you ask them to pay you money.
[00:00:51] And so when Chelsea added this to the launch plan for Systems in Session I was like, wait, Chelsea, I mean, I have frequently asked questions on the website. And then I immediately realized my error and I quickly shut up and I said, okay, I will record this.
[00:01:07] So in today’s episode, I am gonna be telling you a little bit more about systems in session through the lens of the most frequently asked questions that I get about the offer.
[00:01:19] Now the most frequently asked question about systems in session is, will systems in session work for me if I am not a photographer? In fact, I get asked that question so many times. I created its own episode. So if you have not heard the last episode, 289, that is where I covered why Systems in session is amazing, even if you don’t take photos for a living.
[00:01:47] So if you are not a photographer but are interested in Systems in Session, please go back and listen to that episode. But for the rest, we are going to cover a few questions that I hear over and over again.
[00:02:00] So first, let’s talk about the elephant in the room is Systems in Session just for Dubsado users and the quick answer is no.
[00:02:09] Inside of Systems in Session, I am also helping HoneyBook users. This offer is really to map out, design and implement your entire client experience. So often we bring in other tools like Airtable, VideoAsk, and perhaps your email marketing platform so that we can send your leads onto your newsletter.
[00:02:35] The main thing that we are setting up is client experience systems inside of Dubsado or HoneyBook.
[00:02:43] Speaker 2: Another really common concern that I hear quite a bit is Colie, do I really need Systems in session? If I already have systems that are built? And when I ask for a little bit more clarification, it’s usually some version of, oh, I’ve had Dubsado or HoneyBook for years. Is this offer just for brand new users?
[00:03:05] Now I wanna make sure that everybody hears me when I say this. The majority of my clients inside of Systems in Session are not brand new users to Dubsado or HoneyBook. In fact, they’ve been using the systems for years, just not optimally. So they often express to me, oh, you know, I know that I’m not using it and that I’m not getting my money’s worth, but I don’t know how to set up workflows correctly. Or they say something along the lines of, you know, I have workflows, but when I take a look at them, every other step has an approval button. And that’s not saving you time in your business, that’s keeping you as the bottleneck for things, progressing for your clients on a consistent basis.
[00:03:51] Now I do actually get a few brand new users inside of Systems in Session. They have perhaps systems that are inside of another CRM or they’re manually managing everything, and so they’ve decided that Dubsado or HoneyBook is the CRM that they want to use going forward. I do get those people inside Systems in Session and they are very successful.
[00:04:14] But the majority of the people who are joining Systems in Session already have some sort of systems set up inside their CRM. They just need to give everything a glow up.
[00:04:26] Speaker 3: Something that comes up frequently is confusion over whether or not Systems in Session is a one-to-one offer or it’s a group program. So I wanna make this absolutely clear. Every single aspect of Systems in Session is one-to-one. Yes, you get access to a resource hub, which has some trainings and templates that you will need as you are going through the process of designing and implementing your client experience.
[00:04:53] You know, I’m teaching you how to write better client communication or what goes into a highly converting proposal template, but these are just trainings that are there for you as additional resources. At its core, Systems in Session is a one-to-one relationship between you and I, where we design and implement your client experience inside of Dubsado or HoneyBook in 60 days.
[00:05:19] For the first four weeks, you will join me on a 30 minute call, one-to-one, just us, where we talk about your current progress, I answer any questions that you have, and we make a plan for what you are going to do over the next week. Again, that’s what makes this highly personalized and customized to you and your business.
[00:05:42] So Systems in Session includes a resource hub, but it is not a course. There is not a pre-subscribed plan where you are going to hop in there and run through it yourself and just come to me when you have feedback. That is not what this offer is.
[00:05:59] Speaker 4: Now the timing is also something that I get asked a lot of questions about. It’s usually some version of what is the actual time commitment each week, or what happens if I don’t finish in the 60 days? So let’s talk about what it looks like. You get 60 days inside of systems and session, and this was done intentionally because it does not take 60 days to create a client experience for your signature offer.
[00:06:29] I have built in buffer time for you to work on additional offers. Or if, let’s say that your kids go on spring break and you need to take a week off. That is why the offer is 60 days. It does not take 60 days to design and implement your signature offer, but a lot of people are still concerned and say, but what if I don’t finish in 60 days?
[00:06:53] You can always choose to extend your time for another 30 days if it’s needed, but that has not happened yet. 60 days is enough time to get it done.
[00:07:06] Now, for the question of how much time it takes each week, this is gonna vary. For the first four weeks, I am asking that you make a commitment to one 30 minute call each week.
[00:07:18] Probably one to two hours set aside to do your tasks, which in that time is going to be to create your assets. We’re talking about your booking proposal, your client communication, if you haven’t already written it, um, client questionnaires like we’re, we’re getting everything ready for creating the workflows, which is what most of you will be doing at the end of the first 30 days.
[00:07:46] So one week you may do a 30 minute call and spend four hours working on your assets. The next week you might meet me for your 30 minute call and only spend one hour.
[00:07:59] It really does vary depending on where your current assets are and what is required for the tasks that I have assigned you in that particular week. And so I think a good estimation is set aside one to three hours. Um, and we’ll see where that gets you.
[00:08:16] Speaker 5: Now I just said we can create your signature offer from inquiry to delivery inside of Systems in Session in less than 60 days. But a very common question that I get is, but Colie I have three offers. So can we do them all inside systems in session? So I wanna make sure that this is clear. We will be doing one signature offer from inquiry to delivery, and I am setting a goal of getting that done in the first 30 days.
[00:08:45] And the reason that I push my clients to get it done in 30 days is so that you have an additional 30 days for refinement, testing, and working on additional offers if you have them. Now, one of the things that really surprises people is when I tell you if it takes us 30 days to get your signature offer done, it’s probably going to take you less than a week to get your next offer done.
[00:09:13] And that’s because we put so much thought and intention into mapping out the customer journey, creating all of the client experience assets that you need, building the workflows, and then testing them; when you do that for the second offer, in most cases, you’re gonna take all of the things that we’ve done for your signature offer and simply duplicate and customize them for your second offer.
[00:09:40] Now, people usually say, oh, no, Colie, but my offers are like really different. That’s not going to be possible. Yes it is, and I just need you to trust me on this.
[00:09:49] Speaker 6: Now, admittedly, this next question typically comes from people who have decided to join Systems in Session, and they’re just trying to make sure that they get their ducks in a row before they hit purchase. So the question is, how can I get ready for Systems in Session? What do I need to do to prepare for our 60 days together?
[00:10:10] And I have created a lot of stuff to help get you ready, but the truth is none of it is actually required. So here are the things that I have created for you to help you get the most out of the 60 days, but if you haven’t actually done them before we hit start, that is just gonna be something that you’re gonna do inside the 60 days.
[00:10:32] So first I’ve created a private onboarding podcast that I want you to listen to so that you can kind of get in the right mindset of joining Systems in Session. And one of the things that I ask you to do, is really give a lot of thought to what offer we are going to be working on inside of Systems in Session.
[00:10:53] So a second thing that is a little bit more recent, specific to 2026, is I am now offering each and every one of you the opportunity to do Email Like You Mean It as a group before your kickoff call. Now in that sprint, we are going to map your entire customer journey.
[00:11:15] We are going to write your entire client communication library. Which means that when you start in Systems in Session, on day one, you are immediately ready to start building all of the other assets that we will need for your client experience. Now, can you be successful if you don’t join a group sprint?
[00:11:35] ’cause some of you, you know, maybe the time doesn’t work out. Maybe you just don’t want anything to do with a group sprint. That’s okay. The sprint for Q2 is going to be April 6th through April 10th, but if you don’t choose to join the group Sprint, you actually have access to all of the materials to do it in a DIY fashion.
[00:11:58] Again, if you don’t get Email Like You Mean It done before your first day, this is what we’ve typically done in week one. And so that’s just what you will do after your kickoff call. So I wanna bring it around to one final question, which really doesn’t apply to everybody, but it is one of the most frequently asked questions that I get.
[00:12:22] This is from my previous clients. I have clients that have previously enrolled in CRM Blueprint or hired me for a done for you Dubsado setup. And their concern is do I still need Systems in Session if I’ve already worked with you in the past and while I was not going out and like offering Systems in Session specifically to my previous clients.
[00:12:46] I have had several that have joined in the year since I started and now they’ve gotten their hands dirty in their own client experience, in their own workflows, and they feel more confident to make changes in the future.
[00:13:02] So yes, if you previously took CRM blueprint or hired me for a done for you setup, Systems in Session, still might be the place that you need to go if you are ready to give your systems a glow up. But if you have any questions on that, don’t hesitate to reach out.
[00:13:19] All right, so if you’ve listened to this episode and your questions have been answered and you are ready to join Systems in Session, I would love to have you for Q2.
[00:13:29] I am currently booking kickoff calls for April, May, and June. And just like I mentioned a few minutes ago, the first step is going to be Email Like You Mean It as a group sprint at the beginning of April, and those dates are April 6th through April 10th. Again, if you can’t join the live sprint, it’s okay.
[00:13:50] You are going to have access to all of the same materials so that you can DIY, your client communication and your customer journey, and that will be what we review on your very first call. Okay, and if I didn’t address your question and you feel like a conversation is needed, I encourage you to visit the sales page, coliejames.com/systems, and scroll all the way to the bottom where it says, ask a question. That is going to enable you to join me on VideoAsk and send me a text question.
[00:14:24] An audio question or a video question, and that way I can get your specific questions answered about Systems in Session. Alright, that’s it for this episode. See you next time.
Short answer: no.
While many of my clients use Dubsado, I also support HoneyBook users. And depending on your ecosystem, we may integrate tools like Airtable, VideoAsk, or your email marketing platform.
Because the CRM itself isn’t the transformation.
The transformation is designing a client experience system that supports your premium service instead of depending on you to manually hold it together.
If you’re currently:
That’s not a CRM problem.
That’s a systems design problem.
And that’s what we solve inside Systems in Session.
If you listened to Episode 289, you already know this work isn’t limited to photographers — even though photographers make up a large portion of my clients.
The framework works because the logistics of booking, onboarding, delivering, and offboarding are consistent — even when the creative work is custom.
Actually? Most of my clients are not new.
They’ve had their CRM for years.
They’re experienced service providers. Their work is high-touch. Their clients are happy. They’re not dropping balls.
But they’ll say things like:
That’s not automation.
That’s you being the safety net.
I’ve shared case study episodes where clients came in with systems that were functional but fragile. They weren’t failing. They were just exhausted from being the constant overseer. One client even raised her prices during our time together because her backend finally matched the premium experience she was delivering.
When your systems work, you sell differently, and that’s what I want for you.
This one comes up a lot.
Systems in Session is 100% one-to-one done-with-you Dubsado setup (or Honeybook if that’s how you roll).
Yes, there is a resource hub. You’ll have access to trainings and templates that support you as we build — especially around writing client communication and designing high-converting proposals.
But this is not:
For the first four weeks, we meet weekly for 30-minute private calls. Just you and me. We assess your progress, troubleshoot what’s coming up, and map out your next steps.
The rest of the 60 days? You’re implementing with my guidance.
We design.
We build.
We test.
Together.
You don’t leave with ideas. You leave with a fully functional client experience system.
Systems in Session is 60 days — intentionally.
Not because it takes 60 days to build one signature offer. But because life happens. Busy seasons happen. Kids get sick. Spring break shows up.
Most weeks, you can expect:
Some weeks may take more if you’re creating assets like proposals or questionnaires. Some weeks will take less.
But here’s what surprises people: It typically does not take the full 60 days to build your signature offer.
We aim to complete that in the first 30 days.
The remaining time is for refinement, testing, and — if you want — expanding to additional offers.
We choose one signature offer to design and implement a client experience from inquiry to delivery. That foundation matters.
Because once we’ve:
Duplicating and customizing for another offer becomes significantly easier.
I’ve shared case studies where a client completed her primary offer and then built her second offer in under a week. Not because the second offer was simple — but because the thinking had already been done.
The hardest part isn’t clicking buttons in your CRM.
It’s designing the experience.
Once that’s clear? Extending what we’ve done beyond your signature offer is fast.
If I built your Dubsado for you before — or you DIY’d your system using my Blueprint — this is not me saying, “Cool, let’s redo it.”
This is me saying, “Okay… now let’s make it actually match where your business is today.”
Your business today is not the same business it was when we first built your CRM.
You’ve raised your prices.
Your offers have evolved.
Your standards are higher.
Systems in Session is built for this version of you — higher capacity, higher pricing, higher expectations.
We’re not just “fixing” things.
We’re making sure your backend reflects the level you’re operating at now.
So you’re not afraid to touch your workflows.
So you’re not hovering over every automation.
So your systems feel as premium as the service you deliver.
Because when your backend works, your business can grow.
And if you can feel that your business has outgrown the version of Dubsado you’re currently running?
This is your next step.
I’ve created a few optional prep resources to help you hit the ground running.
First, there’s a private onboarding podcast so you understand exactly how we’ll work together and what to expect inside the 60 days.
And second — if you really want to get the most out of our time together — there’s Email Like You Mean It.
That’s where we map your entire customer journey and write your full client communication library before kickoff.
So when we start Systems in Session, you’re not staring at a blank proposal or half-written emails.
You’re ready to build.
Now, is it required?
No.
If you don’t do it beforehand, we handle it in Week One.
But if you want to hit the ground running on day one?
That’s the move.
If you’re:
Then this isn’t just about automation.
It’s about sustainability.
I’ve had clients send a beautifully designed Dubsado proposal and get paid within five minutes — no sales call, no chasing, no pressure.
That’s what a strategic done-with-you Dubsado setup makes possible.
High-touch for your clients.
Low-effort for you.
A backend you trust.
A process you’re proud of.
A system that works even when you log off.
And that’s exactly what we build inside Systems in Session.
This is where we design your client experience intentionally.
This is where we rebuild your Dubsado workflows so they stop depending on you to hover over them.
This is where you stop feeling like the safety net and start feeling like the CEO of your own business again.
Not a template dump.
Not a done-for-you black box.
Not “good luck, go figure it out.”
We build it together.
We test it together.
And you walk away knowing how it works.
If you’re ready to stop babysitting Dubsado and finally feel calm when you log off, Systems in Session is open.
Head to coliejames.com/systems to read the details.
And if you’re still unsure? Scroll to the bottom of the page and send me a VideoAsk. Ask me the question you’re sitting on.
Let’s build the backend your business has been waiting for.
