CRM Guru, Family Filmmaker, and Host of the Business-First Creatives podcast. I help creative service providers grow and streamline their businesses using Dubsado, Honeybook, and Airtable.
Hey, I'm Colie
Let me save you three hours of Googling: Dubsado is not the easiest CRM on the market. It is also not the prettiest out of the box. And if you just want something that works with zero setup effort, there are options that will hold your hand a little more.
But here’s what Dubsado is: the most customizable, automation-forward CRM I have ever used for photographers — and I have been using it (and teaching it) for years.
If you want to move a lead from “I’m interested” to “I’m booked and paid” without touching your laptop, Dubsado can do that. If you want your proposals to look like an extension of your website instead of a generic invoice, Dubsado can do that too. And if you want a follow-up sequence that goes out automatically when someone ghosts your pricing guide, yes — Dubsado handles that while you’re at Disneyland.
This is my honest breakdown of Dubsado for photographers in 2026: what it does well, where it has limits, and who it is actually a good fit for. New here? Learn more about me, your Dubsado specialist for photographers.

Every CRM will store your client info, send emails, and let you collect a contract. That is table stakes. The reason photographers keep choosing Dubsado is what happens beyond the basics.
Two things separate Dubsado from the pack: brand customization and workflow automation.
On the branding side, Dubsado lets you style your proposals, forms, emails, and client portal to actually match your business. Not “pick a color from a dropdown” level — we’re talking CSS-level control if you want it. Your clients shouldn’t be able to tell they’ve left your ecosystem when they open a Dubsado document.
On the automation side, Dubsado has triggers and actions that go deeper than most CRMs offer. The one that makes photographers stop in their tracks: “after form NOT completed.” More on that in a minute.
Dubsado’s current plans (as of 2026) are Starter at $335/year and Premier at $525/year. If you want automated workflows, scheduling, public proposals, and Zapier — you need Premier. For most photographers who want the system to actually do things without them, Premier is where it lives.
Trying to decide between Dubsado and HoneyBook? I break down every key difference in my HoneyBook vs Dubsado comparison for photographers.
This is the feature that made me a Dubsado convert — and the one I spend the most time geeking out about with clients.
Most CRMs send a contract and an invoice. Fine. But a Dubsado proposal lets you put your work in front of the client at the same moment they’re deciding to book. Full-width images, package options, a built-in contract, and payment — all in one document. Clients aren’t clicking through three separate links. They’re looking at your photos while they sign.
[Add your own detail here: e.g., “My clients who book using the proposal process typically say ____” or “I noticed my own inquiry-to-booking conversion went up when I switched to proposals.”]

Now, yes — the most stunning proposals involve a little CSS. But if you have never touched code in your life and have no desire to start, the default Dubsado proposal builder still gives you:
It’s not magic. It’s just a better version of “here’s your invoice, please pay it.”

Now if I have hooked you on the idea of the proposal above, but not using CSS coding, that’s okay! Creating a proposal inside Dubsado using the default features can still be AMAZING!
(Want to go deeper on proposal design? I have a whole post on fancy Dubsado proposals if you’re ready to make it look expensive.)
Here’s the part that either makes photographers excited or makes their eyes glaze over. I’ll keep it practical.
A Dubsado workflow is a sequence of actions that fires automatically based on a trigger. You set it up once. It runs forever.
For photographers, this means:
The trigger I mentioned earlier — “after form NOT completed” — is what powers that follow-up step. It’s the thing HoneyBook doesn’t have (at least not in the same way). It means your workflow doesn’t just stop when someone ghosts you. It keeps nudging.
Not ready to go full autopilot? You can add approval steps so you review emails before they send. You still save time on creation without giving up control.
(If you’re curious what Dubsado can’t automate — because there are limits — I wrote about that too: 5 things I wish you could automate in Dubsado.)
Yes — with a caveat.
Dubsado is worth it for photographers who:
It is probably not the right fit if:
The learning curve is real. I won’t pretend it isn’t. But so is the payoff when it’s working.
I get this question constantly, so here’s my honest take without the fluff.
Choose Dubsado if: You want more control. You have (or plan to have) multiple session types. You want CSS-level proposal customization. You care deeply about the “after form not completed” follow-up trigger. You’re building a system that runs without you.
Choose HoneyBook if: You want to get set up faster. You’re newer to CRMs and want a more guided experience. You want a cleaner, more modern interface out of the box. You’re a HoneyBook user who’s heard the Dubsado hype but honestly — your setup is working fine.
Neither is objectively better. They’re better for different photographers.
(I have a full breakdown of Dubsado vs. HoneyBook if you want the detailed comparison.)

Yes — Dubsado especially great for photographers who want to automate their booking process, create branded proposals, and follow up with leads without doing it manually. It has a learning curve, but once it’s set up, it runs the client experience for you.
Most photographers who want automation should choose Premier ($525/year). That’s where workflows, scheduling, public proposals, and Zapier live. Starter ($335/year) works for basic contracts, invoices, and forms — but you’ll hit the ceiling fast if you want the system to actually do things. I do not recommend the Starter Plan.
For most photographers, yes. Dubsado includes appointment scheduling, contracts, invoices, payment plans, proposals, questionnaires, and a client portal — all in one place.
Harder than HoneyBook, easier than building your own spreadsheet system from scratch. Most photographers can get a functional setup in a week with the right templates and framework. (That’s exactly what CRM Blueprint is designed for.)
Absolutely. Wedding photographers specifically love it for multi-step booking flows, retainer + payment plan setups, pre-wedding questionnaires, and automated timelines leading up to the big day. Here is a client case study where I worked with Jordan to migrate from Pixieset to Dubsado for better automation and client experience.
